Operational Checklist for Hot Truck

Instructions:  This checklist is intended to be used to guide operations from start to finish.  Please fill out the checklist as the operation proceeds.  The vehicle manual should answer questions about specifically how to do these operations.  Corrections or comments about the checklist or the manual should be directed to Richard Ferguson, email richard@fergusonsculpture.com.  Any equipment missing, equipment malfunctions, or problems should be directed to the EDS Head, Michael Gelski.

Get Ready to Leave Base

  Walk around vehicle and inspect it.  Thump the rear tires to check for hidden flats.
  Important Safety Item:   Check that the propane valve in the left rear outside
compartment is closed, see manual.
  Unplug from AC power, close and lock compartment
  Turn on main valve at propane tank
  Check that coffeepot is clean and free of mold
  Fill vehicle water tank, coffee pots, and the hot water jacket on the coffeepot.
Use hot water to fill coffee pot and hot water jacket if available.
  Light coffeepot
  Add approximately 200 pounds of ice.  (100 pounds may be adequate in cool weather).
Add fresh fruit and perishable snacks if available and appropriate.
  Add food for at least one meal, two meals if practical.
  Start generator
  Log mileage
  Log date and time on this sheet.   Date:___________     Time:___________
  Radio check with base, channel 1.
  Report departure to Gelski or planning team leader

Set up at location

  Consult with served agency, agree on appropriate location for setup, discuss how many meals needed
  Call to report arrival and make sure that two-way communications are working, cell phone or radio.
  Check/light pilot lights
  Put out folding tables
  Stock folding tables
  Start cooking, if appropriate

Pack up at location

  Dump trash if dumpster is available, otherwise take trash back.
  Clean and oil grille while warm
  Empty the grille's grease collection tray
  Close roof vents, turn off exhaust fans and water pump.
  Shut off appliances and pilot lights
  Shut off propane valve in left outside compartment. Important safety item, see manual.
  Shut off propane valve at tank.
  Clean surfaces and countertops
  Secure tables and other equipment inside unit.
  Call to report departure

Cleanup at base

  Refuel vehicle with diesel fuel and propane if practical.  If not, check and note fuel and propane level.   Be sure all pilot lights are off before refueling.  Be sure to get a receipt and write the vehicle licence number on it.  The receipt should be put in an envelope and given to Gelski.
  Check tire pressure, oil, etc.  (Note, hot tire pressure is higher than cold tire pressure)
  Remove perishable foods

Clean sinks, leave cover off of sink to allow sink to dry.
  Drain and clean coffeepots, leave lids off coffeepots to dry.  Don't forget to drain the hot water from the jacket using the copper valve inside.
  Dump trash in dumpster
  Drain both waste tanks
  If you drain the fresh water from the tank, turn off the circuit breaker for the hot water heater to prevent burning out the element in the hot water heater
  Sweep and mop floor
  Log mileage
  Restock drinks, dry foods, and other supplies
  Check that permanent equipment is in place, report any shortages or discrepancies
  Turn off all lights, including silver switches on lower left of dashboard.
  Plug truck into 110/220VAC outlet.
  Walk around vehicle and inspect for issues
  Report any equipment issues to EDS Head (Gelski), copy EDS maintenance person (Frank Grassmugg) if possible.
List these issues below in comments section.
  Report meal count to EDS Head (Gelski.)
  Sign and date checklist and leave on dashboard in plain sight.
